Sales Assistant | Costa Mesa, CA
This position is for U.S. Trust. U.S. Trust is one of America's oldest
and most respected wealth management firms, and is a wholly-owned
subsidiary of The Charles Schwab Company.
We are seeking an experienced Sales Assistant to provide superior
administrative and client support for a top-producing Business
Development Officer in our Costa Mesa, CA offices.
Position Responsibilities:
- Provides communication support for clients and referral sources on
behalf of the Sales Officer.
- Coordinates appointments, reserves conference rooms and makes other
arrangements for internal and external meetings and events.
- Prepare and create customized presentations in a timely and accurate
manner.
- Handles matters of a confidential nature.
- Prepares all new account documentation for investment management
clients and follows up with prospect and internal portfolio managers assistants
for incoming asset transfers.
- Uses initiative in interrupting routine work to perform emergency
assignments.
- Keeps up-to-date records of major clients, prospects and other contacts.
- Exercises tact in handling highly delicate as well as routine
correspondence and communication both internal and external.
- Receives and opens mail and codes pertinent information.
- Supports other staff, as needed.
- Performs other duties as assigned.
Position Requirements:
- Must have a minimum 3-5 years administrative experience, preferably
within Financial Services.
- Strong computer skills in Word, Excel, and PowerPoint.
- Must be able to exercise mature judgment in organizing and prioritizing
assigned responsibilities in order to meet deadlines.
- Ability to work with multiple individuals.
- Solid communication skills, both verbal and written.
- Excellent interpersonal skills and strong organizational skills.
- Must be detail oriented.
- Independent completion of tasks.
