Sales Assistant | Costa Mesa, CA

This position is for U.S. Trust. U.S. Trust is one of America's oldest and most respected wealth management firms, and is a wholly-owned subsidiary of The Charles Schwab Company.

We are seeking an experienced Sales Assistant to provide superior administrative and client support for a top-producing Business Development Officer in our Costa Mesa, CA offices.

Position Responsibilities:
  • Provides communication support for clients and referral sources on behalf of the Sales Officer.
  • Coordinates appointments, reserves conference rooms and makes other arrangements for internal and external meetings and events.
  • Prepare and create customized presentations in a timely and accurate manner.
  • Handles matters of a confidential nature.
  • Prepares all new account documentation for investment management clients and follows up with prospect and internal portfolio managers assistants for incoming asset transfers.
  • Uses initiative in interrupting routine work to perform emergency assignments.
  • Keeps up-to-date records of major clients, prospects and other contacts.
  • Exercises tact in handling highly delicate as well as routine correspondence and communication both internal and external.
  • Receives and opens mail and codes pertinent information.
  • Supports other staff, as needed.
  • Performs other duties as assigned.

Position Requirements:
  • Must have a minimum 3-5 years administrative experience, preferably within Financial Services.
  • Strong computer skills in Word, Excel, and PowerPoint.
  • Must be able to exercise mature judgment in organizing and prioritizing assigned responsibilities in order to meet deadlines.
  • Ability to work with multiple individuals.
  • Solid communication skills, both verbal and written.
  • Excellent interpersonal skills and strong organizational skills.
  • Must be detail oriented.
  • Independent completion of tasks.
